## How it works

1. **Send the file**: A PDF or a photo, from your computer or your phone’s camera — or forward the supplier’s email to your company’s inbox address.
2. **AI reads it**: Issuer and VAT number, document number, date, MARK, totals, VAT breakdown and item lines, in a few seconds.
3. **Kronn ERP checks it**: The issuer’s VAT number, that the document is addressed to you, the sums and the VAT rates — and matches it with the same document in myDATA, when there is one.
4. **You approve**: Correct anything that needs it, confirm the item on each line and choose whether it goes into stock now or into expected goods. Next time, your choices are suggested first.

## What it does

- Reads suppliers’ invoices, receipts and credit notes, as PDFs or photos
- Fills in the supplier, number, date, totals and VAT breakdown
- Suggests the stock item for each line and learns from your choices
- Puts items into stock at their cost or into expected goods, and takes them out with credit notes
- Links the file to its myDATA document on its own when MARK, issuer and total agree
- Keeps every file, so your accountant finds it in the period’s pack

## What it doesn’t do

- It records no expense and moves no stock without your approval
- It issues no documents and sends nothing to AADE
- It does not trust unreadable, cut-off or handwritten files; it flags them for review
- It does not read attachments from unknown senders; it keeps them until someone on your team looks
- It does not use your files to train AI models
- It does not replace your accountant

## Your data

To read a document we send the AI provider only the file and your company’s name, VAT number and expense categories. We use one of Anthropic, OpenAI and Google, through their business APIs, which do not use the data to train models. ## Frequently asked questions

### How much does AI scanning cost?

€20 a month + VAT, billed yearly (€240 + VAT a year). 300 documents a month are included. If you need more, buy packs of 100 documents at €10 + VAT, valid for 12 months from purchase.

### Which files does it read?

The documents your suppliers issue to you — invoices, receipts, credit notes — as PDFs or photos (JPEG, PNG, WebP, HEIC), up to 20 MB each. The first 5 pages of a PDF are read.

### How do I send files by email?

Every company has its own inbox address, which you can change at any time. Attachments are read when the sender is a member of your company or on your list of senders and the email passes the DMARC check; otherwise they are kept until someone reviews them.

### Do I need to check what it read?

Yes. Kronn ERP checks VAT numbers, sums and VAT and flags anything that does not add up, but AI can make mistakes and the final approval is yours. Only a file that fully agrees with a myDATA document (MARK, issuer, total) is linked to it without you.

### Where do my files go?

They are stored on our servers in Germany. To be read, a file is sent to the AI provider the service uses for your company (Anthropic, OpenAI or Google), together with your company’s name, VAT number and expense categories. The providers do not use it to train models.
